50 Sims is a 113,000 sq ft former manufacturing facility that Scout is thoughtfully transforming into a space to learn, make and do, with a diversity of uses and scales. A campus of interconnected buildings composed of hardworking spaces, 50 Sims is a vibrant cluster for economic development with a growing tenant community that includes Rhode Island's American Job Center, a nationally recognized workforce development training program, a product development outfit, artist studios, a bicycle collective and a brewery and brewpub, among others.

Position Summary

The primary responsibility of the Leasing + Operations Coordinator at 50 Sims is building our internal community both through leasing efforts and through supporting day-to-day operations at 50 Sims.  This role processes leasing inquiries, conducts tours, and supports prospective tenants in their decision to make a move to 50 Sims.  This role will also serve as the on-the-ground point person for questions and issues from current tenants, liaising with the Property Manager and other contractors as needed to support the resolution of work orders.

In addition to leasing and operational support, this role serves as a key liaison for the tenant community. Responsibilities include overseeing communications, coordinating events, and building strong relationships with neighbors and community partners to create a vibrant and connected environment.

The position requires a blend of skills in sales, property management, customer service/sales, and community engagement. Operationally, responsibilities include monitoring building functionality, troubleshooting issues, liaising with the Property Manager, and ensuring that maintenance, cleaning, and tenant support needs are met. This position plays a vital role in maintaining a well-functioning, engaged, and thriving tenant community.

This role is hands on and in-person, best suited for an individual with an innate ability to problem solve, prioritize and multitask. Verbal and written communication skills are equally important as a person in this role will be interacting with not only members of the remote-based project team, but also current and potential tenants. Scout is a small, entrepreneurial, energetic team and therefore looking for someone who appreciates a fast-paced, start-up working environment and has the ability to remain highly organized in such a setting. Please note that this role may require occasional lifting of boxes up to 50 pounds.

Responsibilities

Leasing:

  • Review and respond to prospective tenant leads with oversight from the leasing director.

  • Conduct initial calls, schedule tours, and keep detailed records of communication. 

  • Provide qualified prospects with all necessary information to make a leasing decision and prepare lease proposals.

  • Prepare vacant spaces for tenant move-in by coordinating necessary work to ensure they meet ‘baseline’ conditions and any bespoke lease commitments.

  • Coordinate and conduct move-in walkthroughs, including arranging rekeying, cleaning, and orientation to the building.

  • Submit move-in inspection forms to Scout and maintain accurate leasing records.

  • Collect photo and video content for leasing marketing purposes and Instagram.
     

Tenant Community:

  • Monitor hello@50sims.com inbox daily answering general inquiries, triaging internal community requests, and assigning emails as needed.

  • Review and coordinate tenant event requests; if approved, collect event permits and/or COIs, ensure compliance with guidelines, and support event success.

  • Draft monthly update emails to tenants (building updates, tenant events, events happening in the neighborhood, new faces, etc.). 

  • Attend and represent 50 Sims at community meetings, reporting key updates back to the team.

  • Serve as a point of contact for building neighbors, track their events and programs, and identify opportunities for tenant engagement and collaboration.
     

Operations:

  • Review all work orders that come in and ensure they go through appropriate channels for approval if needed and collaborate with the Property Manager to resolve any issues in a timely manner. 

  • Serve as the primary on-the-ground tenant contact during business hours, assisting with maintenance communications and operational troubleshooting. 

  • Maintain building functionality by addressing issues, monitoring common areas, and coordinating necessary services (e.g., ButterflyMX, Scout WiFi).

  • Work closely with the Property Manager to track and support maintenance and alteration requests and coordinate related work with tenants (unit entry, billing, etc.).

  • Coordinate getting keys copied for tenants as needed, distributing keys to leaseholders upon request and charging.

  • Monitor USPS mailbox and package area and tidy as needed and check Scout's mailbox daily.

Qualifications

  • Experience in leasing or sales, property management, or office operations. Familiarity with the local and regional artistic community is a plus!

  • Highly competent in Microsoft Office Suite, Adobe platforms, and project management software, preferably Asana, Google Drive, Appfolio, and Mailchimp.

  • Strong written and verbal communication skills.

  • Professionalism in handling tenant concerns and representing 50 Sims at a community level.

  • Interest in adaptive reuse, community programming, and supporting local arts and artists.

  • A self-starter that enjoys working independently and with curiosity and attention to detail.

  • Proficiency in written and spoken Spanish preferred.
